the information that Launchpad023 (“we,” “us,” or “our”), collects from you in any form, including when you interact with our website: launchpad023.nl (the “Website”), visit our coworking space at Wateringweg 65, Haarlem, the Netherlands (the “Space”), or use our membership platform;
how we collect, use, and disclose the information that we receive, including sharing that information with third parties; and how we store and secure information.
This Privacy Notice is intended to comply with the General Data Protection Regulation (GDPR) and the Dutch GDPR Implementation Act (Uitvoeringswet AVG).

Our Website and membership platform contain links to third-party websites and services (e.g., Cobot for membership management, Stripe for payment processing, Moneybird for invoicing) and some of those third-party services may be co-branded with our logo (the “Third Party Services”). If you decide to visit and submit any information to a Third Party Service, you are subject to its privacy policy and practices and not this Privacy Notice. Information We Collect
Information You Provide to Us
We collect data from you that you voluntarily provide, including when you sign up for membership, book a resource, register for an event, or contact us.
Membership and Account Information
When you create a member account with us through our membership platform (Cobot), we collect your first and last name, e-mail address, phone number, company name and address (if applicable), KVK number (for business members), billing address, and payment information. Payments are processed by Stripe and, where applicable, via iDEAL or SEPA direct debit. This information is accessed by our community and finance team.
Locker Rental
If you rent a locker, we collect your name, the locker number assigned to you, and a record of the refundable key deposit paid and returned. This information is used solely to administer locker assignments and deposit refunds.
Event Registration
If you register for an event or workshop hosted at the Space, we collect your name and e-mail address in order to manage attendance and communicate event details.
Newsletter and Communications
You can sign up to receive newsletters and communications from us. If you choose to do so, we collect your name and e-mail address. This information is accessed by our marketing team.
Contact Us / Support
If you provide us feedback, contact us via email, or contact us for support, we will collect your name and email address, as well as any other content included in your message, in order to respond to you.
Visiting the Space
If you visit the Space as a guest, day pass user, or event attendee, we may collect your name for check-in purposes.
CCTV / Security Camera Footage
For the safety and security of our members, staff, and visitors, the Space is monitored by CCTV cameras at the entrance and in common areas. Footage is retained for 4 weeks and is only accessed in the event of a security incident. Footage is not used for any other purpose and is not shared with third parties except where required by law or to assert legal rights.
Information Collected via Technology
Membership Platform
When you use our membership platform (Cobot) to book resources, manage your membership, or make payments, we collect information regarding your login session, booking activity, and visits to the platform.
Automatically Collected
When you interact with our Website and Services, we may automatically collect certain technical information about your equipment, browsing actions, and patterns. That information may include Internet Protocol (“IP”) address, domain name, browser type, Internet service provider (“ISP”), mobile device information, referring/exit pages, operating system, date/time stamp, and clickstream data. We use this information to analyze trends, administer the Website, and better tailor our Services to our users’ needs.
How We Use and Share Your Information
We use your information only for purposes of providing the Services described above. We do not sell your information to anyone. Specifically, we will use or share your information as detailed below.
With your consent. We may share your information with third parties if you have given us your consent to do so.
Marketing — To Communicate with You
We use your data to send you information about our Services, to respond to you when you contact us, and to verify accounts, as needed. If you provide us with an email address, we may also send newsletters, event invitations, and other promotional materials related to Launchpad023. You can control these marketing communications by using the “Unsubscribe” link in an email, or by emailing us directly.
With Third-Party Service Providers Performing Services on Our Behalf
We share information with our third-party service providers to perform the functions for which we engage them, including:
Cobot — membership management, bookings, and resource scheduling
Stripe — payment processing
Moneybird — invoicing and bookkeeping
International Data Transfers
Some of our service providers (such as Stripe) may process data outside of the European Economic Area (EEA). Where this occurs, we ensure appropriate safeguards are in place, such as Standard Contractual Clauses approved by the European Commission, or reliance on an adequacy decision.
To Improve, Personalize, and Develop Services
We use the information we collect to improve and personalize our Services and to develop new services and benefits for our members.
To create anonymous data. We may remove all identifying information from your data to create anonymous, aggregated data. We may disclose this aggregated, anonymous information without restriction.
With Advertisers
We do not share or sell your information for advertising purposes.
For Corporate Restructuring
We may share some or all of your information in connection with or during negotiation of any merger, financing, acquisition, or dissolution transaction involving sale, transfer, divestiture, or disclosure of all or a portion of our business or assets. Data Retention
We retain the personal information we collect for as long as needed to provide the Services. We will retain and use this information as necessary to comply with our legal obligations, resolve disputes, and enforce our agreements.
Membership, billing, and invoicing records are retained for 7 years in accordance with Dutch fiscal record-keeping requirements (fiscale bewaarplicht).
Locker deposit records are retained for the duration of the locker rental plus the statutory financial record retention period noted above.
Event registration data is deleted within a reasonable period after the event has taken place, unless retained for legitimate follow-up purposes.
How Do We Store Your Data?
Our membership and booking data is hosted by Cobot. Payment data is processed by Stripe. Bookkeeping and invoicing data is hosted by Moneybird. We take reasonable steps to ensure our service providers maintain appropriate technical and organizational security measures.
Information Security
We use a combination of technical, administrative, and physical controls to maintain the security of your data. If you have a security-related concern, please contact us. Always be sure to secure your login credentials for online access. In order to protect you and your information, we may suspend your use of any online services, without notice, pending an investigation, if we suspect any breach of security.
Children’s Privacy
Our Services are not intended for use by children under the age of 16. We do not knowingly collect personal data from anyone under the age of 16. If we learn that a child under 16 has submitted information to us, we will attempt to delete this information as soon as practical. Membership contracts may only be entered into by persons aged 18 or older.
Changes to This Privacy Notice
We may update this Privacy Notice from time to time for any reason. If you provided your email address, we will notify you before we make any material changes. You can then decide whether you would like to continue to use the Services. If you have not provided us with your email address, we will notify you of any changes by posting the updated Privacy Notice on our Website and updating the “Last Revised” date above.
